Who We Are
HEXA TALENTS is a Saudi company specialised in employment intermediation for Saudi nationals. This website provides a channel for job seekers to register their details, for establishments to submit hiring requests, and for anyone to contact our team.
If you have any question about your personal data or about this policy, you can reach us by phone on +966 50 422 5977 or by email at info@hexa-talents.sa.
Scope of This Policy
This policy applies only to data we receive through this website: the job-seeker application form, the establishment hiring-request form, the contact form, and any files attached to them.
It does not apply to websites or systems operated by other parties, even if you reached them through a link on this site.
The Data We Collect
We collect no personal data simply because you browse the site. Data is collected only when you submit one of the forms yourself.
Job Seeker Data
When you submit an application we ask for: your full name, email address, mobile number, city, qualification, field of study, years of experience and target sector, along with an optional summary or notes.
We also receive your CV as a PDF, DOC or DOCX file. That file may contain further details you have chosen to include, such as your education and previous roles. We treat the contents of your CV as part of your application.
We additionally record your explicit consent to your data being processed for recruitment purposes, the date the application was received, and a reference number used to track it.
Please do not include information an employment application does not need, such as bank details, health information, or images of official documents.
Establishment and Recruitment Officer Data
When an establishment submits a hiring request we ask for: the establishment name, contact person, email address, mobile number, job title required, number of vacancies, sector, work location, required start date, required qualifications and request details, with the option to attach a job description.
The recruitment officer's details are used to contact them about their establishment's request and to follow it up until it is closed.
Contact Form Messages
When you send an enquiry through the contact form we ask for your name, email address, inquiry type and message, and optionally your mobile number. This data is used solely to reply to your enquiry.
Technical Data
To operate and protect the site we use a technical session file that remembers your language choice and protects the forms against misuse, and we keep a short derived value based on your internet address in order to limit repeated form submissions. That value is one-way hashed and is not stored with your application.
The server may record operational errors when they occur, for operation and maintenance purposes only.
This site uses no third-party analytics tools, no advertising networks, and no tracking tools for marketing purposes.
How We Use Your Data
We use the data we receive only to review and screen your submission, to match you with the most suitable opportunities or candidates, to contact you about your submission, to manage the recruitment cycle from screening through to signing, to answer your enquiries, and to operate and protect the site.
We do not use your data to make fully automated decisions; our recruitment team reviews submissions themselves.
Matching Candidates With Opportunities
We use your qualification, field of study, years of experience, sector and city to put you forward for opportunities that suit your profile. If you leave your details without applying to a specific opening, we may use them to match you with new vacancies as they become available.
Sharing Data With Employers
Where you are a suitable candidate for a vacancy at an establishment, we may share your professional profile and CV with that establishment so your nomination can be considered. Sharing is limited to what the recruitment process requires, and to establishments with an active hiring request.
An establishment that receives your data becomes responsible for handling it under its own policies.
If you would prefer your data not to be shared with a particular establishment, tell us using the contact details in this policy.
Sharing Data With Other Parties
We may share data with service providers necessary to operate the site, such as our hosting provider or email service, and only to the extent needed for them to perform their work.
We may disclose data to the competent official authorities where a legal requirement obliges us to do so.
We do not sell your personal data, rent it, or trade in it in any form.
Protecting Your Data
Submissions and attachments are stored in an area that is not directly reachable over the internet. Uploaded files are saved under randomly generated names, the file type is verified before a file is accepted, and no uploaded file is permitted to execute.
Access to submissions is limited to the recruitment team members whose work requires it.
We make reasonable efforts to protect data; even so, no method of electronic transmission or storage can guarantee absolute security.
How Long We Keep Data
We keep submission data for as long as it is needed for the purpose it was collected for, namely reviewing your submission, matching you with suitable opportunities, and following up the recruitment process.
We may keep some data for longer where a legal requirement calls for it, or where we need to evidence steps that were taken. Once the need and the legal requirement no longer apply, the data is deleted or made non-identifying.
You may ask us to delete your data at any time, and we will act on that request so far as it does not conflict with a standing legal requirement.
Cookies
The site uses only two files, both necessary for it to work: a technical session file that keeps the forms secure while you fill them in, and a file that remembers whether you chose Arabic or English so you do not have to select it again on every visit.
The site uses no advertising, marketing or analytics cookies. You can configure your browser to refuse cookies, but note that refusing the technical file may prevent forms from being submitted.
Your Rights Over Your Data
You may ask to see the data we hold about you, ask for it to be corrected or updated if it is inaccurate, ask for it to be deleted, and withdraw your consent to it being processed in future.
You may also ask for an explanation of how your data has been used or which parties it has been shared with.
Exercising any of these rights carries no fee, and withdrawing consent does not affect the lawfulness of processing that took place before the withdrawal.
Making a Request About Your Data
Send your request by email to info@hexa-talents.sa or call +966 50 422 5977, stating what you are asking for and quoting your submission reference number if you have one, so that your data can be located.
We may ask you to verify your identity before acting on a request, to protect your data from being disclosed to anyone else. We aim to respond to requests within a reasonable period of receiving them.
External Links
The site may contain links to websites or services operated by other parties. We do not control those sites and are not responsible for their privacy practices; we recommend reading their policies before sharing any data with them.
Minors
This site is intended for job seekers of legal working age and for establishments. We do not knowingly collect data from anyone below that age, and if we become aware that we have, we delete it.
Updates to This Policy
We may update this policy when our services or legal requirements change. The updated text is published on this page and the last-updated date shown at the top is revised.
We recommend reviewing this page from time to time. Continuing to use the site after an update is published means you have had the opportunity to read the current version.
